What is Wiise Payroll?

Wiise Payroll is a complete cloud payroll system. Wiise Payroll is designed to save you time, make paying your employees faster and streamline processes. It lets you manage employee details, process pay runs, and record employee expenses all in one integrated solution.

Wiise Payroll automates manual processes and ensures compliance with New Zealand legislative requirements, including the Holidays Act, KiwiSaver and New Zealand Inland Revenue. Wiise Payroll includes automatic notifications, an employee self-service portal, manager approvals, automated payroll journal postings, and automated compliance.

What can you do with Wiise Payroll in New Zealand?

With Wiise Payroll, you can:

  • Set up employees and manage pay runs

  • Generate reports and manage timesheets 

  • Set up rostering, manage leave, and set up tasks 

  • Sync employee information using Automation, and post your payroll journal using Dimensions (information categories) 

  • Run KiwiSaver payments to employees

  • Access employee/manager self-service portal

KiwiSaver options in Wiise Payroll

Employers are required to contribute a minimum of 3% of the employee’s gross salary and the employee can choose to contribute 3%, 4%, 6%, 8% or 10% of their salary. 

You can choose from the following options on the employee KiwiSaver page:

  • KiwiSaver Enrolment Options:

    • Automatically enrol: If the employee is not already in KiwiSaver, you can choose to automatically enrol them. There are requirements for this process.

    • Opt-in: If your employee was not automatically enrolled in KiwiSaver, they can choose to opt in through their employer.

    • Savings suspension: Your KiwiSaver employees can apply for a temporary break from paying into their KiwiSaver account. You can apply for a savings suspension through the Inland Revenue website.

    • Opt-out: The employee can choose to opt out of KiwiSaver between weeks 2 - 8 of starting the job by informing their employer by filling in the opt-out request form. 

    • Not enrolled: This option is selected for existing employees who are not enrolled in KiwiSaver and do not wish to do so. 

    • Ineligible: There are a few reasons why an employee may be ineligible for KiwiSaver, including being under 18 years old. Go through the reasons for ineligibility.

  • Employer Contribution:

    • This is set as a percentage of 3%.

  • Employee Contribution:

    • The employee can choose to contribute 3%, 4%, 6%, 8% or 10% of their salary.

  • Reason for KiwiSaver Savings Suspension:

    • A "To" date must be entered.

    • The end date is optional.

  • Reason for KiwiSaver ineligibility: For employees who have been set up as ineligible for KiwiSaver the following options are available for selection:

    • Not a citizen/permanent resident

    • Not normally living in NZ

    • Under 18 years of age

    • Working as an independent contractor

How to apply KiwiSaver to an employee?

There are two ways that KiwiSaver can be applied to an employee. You can enter their KiwiSaver details when setting them up as an employee or the employee can enter their details on the self-service portal.

Entering KiwiSaver when creating an employee for the first time

When adding the employee into Wiise Payroll for the first time, you will be prompted to enter their details into the system. Once on the Banking & KiwiSaver set-up page, enter the following fields:

  • KiwiSaver Options: Automatically Enroll, Opt-In, Opt-Out, Ineligible, Not Enrolled.

  • Employee Contribution: The employee can select from 3%, 4%, 6%, 8% or 10%. 

  • Employer Contribution: As an employer, you must contribute at least 3% which is what the default value is set to. You can contribute more if you wish by increasing the percentage in the Employer Contribution field. 

Once the KiwiSaver details are complete, select the Next button in the bottom right corner.

Adding KiwiSaver through the self-serve portal set up

Employees can also add their KiwiSaver details themselves through the self-serve portal. The employee will receive an email that contains a link to the Employee Self-Setup Wizard.

  1. Select the Setup My Employee file link from the email.

  2. Enter your personal and banking details.

  3. You will now be asked to enter your KiwiSaver details.

  4. Enter in the following fields

    • Enrollment Option

      • Automatically Enroll

      • Opt-Out

      • Savings Suspension

    • Your Contribution

      • Select the KiwiSaver contribution percentage you would like to contribute. Your options are 3%, 4%, 6%, 8% or 10%.

  5. Select Next Step in the bottom right corner.

  6. Complete the rest of the self-serve portal set-up.

Make an adjustment to KiwiSaver

Adjustments to KiwiSaver can be made from the employee's file in Wiise Payroll. To adjust the employee's KiwiSaver file, you will need to:

  1. Open the employee file in Wiise Payroll.

  2. Select Pay Role Inclusions on the left side menu.

  3. Scroll down and locate KiwiSaver Adjustments.

  4. Select Add in the green button on the right-hand side.

  5. Select the contribution type you wish to apply from the drop-down list.

  6. Enter the adjustment amount to be applied per pay run. 

    • It can be a 'Fixed' amount, a 'Percentage of gross', 'Percentage of KiwiSaver earnings' or 'Percentage of taxable earnings'.

  7. You may add any notes you want to display on the employee's pay slip.

  8. In the When should this pay run inclusion start? field select the date you wish the adjustments to start from.

  9. You may choose to select a date for the inclusion to end. You can choose from:

    • A specific end date

    • Never

    • Once a dollar amount has been reached

  10. Select Save in the bottom left corner of the page.

Once saved, the adjustments will apply to the employee’s next pay run.
