Overview:
- Learn to enable and sync dimensions between Wiise ERP and Wiise Payroll so that timesheet entries reflect accurate data for payroll processing.
Why Group Transactions by Wiise Payroll Dimension?
Adding dimensions to timesheets lets you allocate hours to the right project, department, or cost centre. This improves accuracy and makes it easier for payroll and finance to review and reconcile records.
Note: This mapping applies to Wiise Timesheets.
Note: This process works only when you’ve enabled Group Transactions by Wiise Payroll Dimension in the Advanced section of the Wiise Payroll Setup in Wiise ERP.
Before you begin:
Make sure the following are completed:
- Set up Dimensions in Wiise ERP
- Sync Dimensions in Wiise Payroll
- Assign dimensions to employees in Wiise Payroll
Note: If it’s your first time syncing Wiise ERP dimensions to Wiise Payroll, the process may take up to 15 minutes or longer, depending on the number of records.
Once these are complete, proceed with the steps below.
Note: To import synced dimensions with your Wiise payroll journals, make sure they’re set as Shortcut Dimensions in the General Ledger Setup in Wiise ERP. When finalised pay runs are brought into the General Journal batch in Wiise ERP, those dimensions will be included.
Caution: If you're an existing Wiise Payroll customer, you may currently be using Group Transactions by Employee Dimension or Group Transactions by Location Dimension. Review your current process, as dimension behaviour varies depending on the setup you select for your Wiise Payroll transactions. You’ll need to test the process in your Sandbox environment before migrating to Production.
Note: Enabling Group transactions by Wiise Payroll Dimension allows dimensions to sync between Wiise ERP and Wiise Payroll. You’ll need to sync the dimensions set up in Wiise ERP via Sent to Wiise Payroll action. You can view the list by selecting Dimensions from the Wiise Payroll menu on your Wiise landing page. Each time you update a dimension, select Send to Wiise Payroll to sync changes.
How to Group Transactions by Wiise Payroll Dimension?
- Select the Wiise Payroll navigation menu on your Wiise landing page.
- Then, select Setup.
- The Wiise Payroll Setup page displays.
- Update the Advanced section:
- Group Transactions by Wiise Payroll Dimension: Enable this toggle button. This allows imported payroll transactions to be grouped by Wiise Payroll dimensions.
Note: When this toggle is turned on, the other options Group Transactions by Employee Dimension and Group Transactions by Location Dimension are disabled. You can only select one way to group Wiise payroll transactions.
- Group Transactions by Wiise Payroll Dimension: Enable this toggle button. This allows imported payroll transactions to be grouped by Wiise Payroll dimensions.
- You’ve enabled Group Transactions by Wiise Payroll Dimension in Wiise ERP.
Note: Before you process a pay run, assign dimensions to your employees first.
Process a Pay Run
Before you begin
- You’ll need to finalise the pay run in Wiise Payroll.
Note: When you’ve finalised a pay run in Wiise Payroll, the Pay Run ID gets imported into Wiise ERP.
- Then, you can import and post the payroll journals in Wiise ERP.
How to Process a Pay Run with Grouped Transactions?
- Complete steps 1 to 4 from the article Post Payroll Journals.
- Return here to continue the remaining steps.
- Review the payroll journal entries.
Note: Confirm that correct dimensions are updated in the journal when payroll transactions are imported. - Select Home. Then, select Post.
- You have the option to either Post, Preview Posting, Post and Print or Test Report.
- A message displays asking if you want to post the journal lines?
- Select Yes to proceed.
Note: Your payroll journals are posted as a debit to PAYG liability and a credit to a bank account, which shows the balancing account number. - You’ve completed the process of posting payroll journals in Wiise.
Note: Payroll administrators should verify the accuracy of posted journals by:
- Reviewing the general ledger account setup against the Pay Run ID and pay amounts.
- Reviewing leave liabilities to ensure the right amounts are recorded for each leave category.
