Note: To track items by batch number, you need to set up item tracking on the Item Card and use Item Tracking Lines when processing transactions.
Why Use Item Tracking in Purchase Orders?
Item tracking helps you trace and manage the quantity and movement of stock across purchases, sales, and inventory changes. You apply item tracking to the purchase order when the goods arrive at your warehouse, using either the supplier’s batch numbers or automatically generated batch numbers from a number series.
How to use Item Tracking in purchase orders?
- Open an existing Purchase Order or set up a new Purchase Order.
- Go to the Lines section.
- Select the item row that you want to track.
- Then, select Line. From the drop-down menu, select Item Tracking Lines.
- The Item Tracking Lines for the item displays.
- Select Home.
- Allocate the Quantity (Base) amount to the batch. These amounts should be less or match the Source Purchase Line quantities that you can see on the top of the Item Tracking Lines page.
Note: You can assign multiple lot numbers to each line on your purchase order. The base quantity will update automatically based on the quantity entered for each lot.
Note: The Undefined section on this page will show no value once the full quantity on the purchase line has been tracked. - Select Close when you’ve updated the item tracking lines.
- Based on your location setup, complete the posting of your purchase order.
Note: If your location card is set up to receive, create a warehouse receipt to receive the goods.
Note: If your location card is set up to require put-away, create inventory picks/put-away to receive the goods. - Post your purchase order.
Note: You can view tracking details for your purchase receipts by navigating to Item Ledger Entries, where you can see your lot or batch-tracked inventory.
Note: When you post the receipt or invoice, the lot or batch number is recorded in the item’s ledger entry. - Your items are now receipted and tracked by batch or lot number.
