Set up and post an item journal

Why set up and post an item journal? 

Item journals allow you to adjust your inventory levels up or down to match the actual stock in the warehouse. In this guide, you can learn to adjust inventory levels using an item journal for a location that has bins set up.  

Note: To use a warehouse item journal, you’d need a location set up for directed pick and put away.  

How to set up and post an item journal? 

  1. Search for Item Journals on the top right-hand corner of the page. Select the relevant link and the Item Journal Template List displays.

  2. Select an item journal template, then select OK to continue.  

    Note: If you are using warehousing features, you’d need to select the WH-ITEM item journal template. 
    1. The Item Journal batch page displays. Select your Item Journal Batch name.

      1. Fill in the relevant fields: 
        1. Select the Posting Date for the entry on which you want to post the adjustment.  
        2. Specify the Item No., Location Code, Bin Code and Quantity on where the item is stored to post the adjustment. 
        3. Identify the Entry Type. 

      Note: The Entry Type field has four options and that is positive adjustment, negative adjustment, purchase or sales.  

      Note: Purchase and Positive Adjustment creates item ledger entries with positive quantities. Sale and Negative Adjustment creates item ledger entries with negative quantities. 

      Note: You'd need to consider the unit cost when you post an inventory adjustment. For a positive adjustment, verify and update the unit cost.   

    Note: Use item references by adding the Item Reference No. field from the Personalise function. Your business can associate a customer item number, a vendor item number, a barcode or a general reference with your business's own internal item number.  

    Note: For items stored in bins at locations without directed put-away and pick, use the Get Bin Content function to add item journal lines. 
  3. Select Actions. Then select Functions. From the drop-down menu, select Get Bin Content.

  4. The Whse. Get Bin Content request page displays.  

    Note: When you add filters, Wiise calculates the contents of the bins and creates a journal line for each. Each journal line includes the bin number, item number, and quantity. You can filter on location code or filter on the item, variant or bin and so on.  
  5. Fill in your filters.

    1. When you’ve updated the filters, select OK to continue.  You’ll notice the item journal lines are updated with extra lines.

    Note: On the Item Journals page, you can edit the Document No. field to set different document numbers for each line or the same number for related lines. Use the Renumber Document Numbers action before posting. 
  6. Select Post, then select Post to update the inventory. This action adjusts the inventory levels on the quantities updated.   
  7. You’ve now set up and posted an item journal.
