Process Over Receipts

Why do we process over receipts? 

Over receipts functionality is used when suppliers deliver more goods than what was ordered to your warehouse. It is best practice to use the over receipt process than updating the order quantity on your purchase order.

We process over-receipts to ensure inventory and financial records accurately reflect excess items received due to vendor shipping errors or additional stock beyond the order. Proper handling maintains accurate inventory traceability and financial records. 

How to process over receipts? 

You’ll need to complete the below pre-requisite before you can process over receipts.  

Pre-requisites

  1. Search for Over-Receipt Codes in the top right-hand corner of the page. Select the related link and the page displays.  
  2. Select +New. Then, fill in the following fields: 
    or1
    1. Code and Description: Assign a relevant description of the over receipt code. Examples can be such as ALLOW10 or Allow 10% Over-Receipt.  
    2. Default: Select the checkbox if the over-receipt code that you set up is used by default.  
    3. Over-Receipt Tolerance %: Indicates the percentage by which the ordered quantity can be exceeded. 
    4. Approval Required: Select the checkbox where approval is required before receiving more items than ordered. 
    5. Select the back arrow button to get out of the page.  
  3. You’ve set up the over-receipts code.  
  4. You can now process over receipts.  

Process over-receipts

  1. Set up a new purchase order.  

    Note: At a minimum, you’ll need to update the vendor details in the General section, assign the location code, add item lines and include the Quantity in the Lines section.  
  2. In the Lines section, select the Over-Receipt Code. You can close your set-up Purchase Order now.

  3. Update the Purchase Order you’ve created when you’ve received more than ordered. 
  4. In the Lines section, on the item receipt line, update the Over-Receipt Quantity as per the tolerance limit allowed.

    Note: When your current Quantity ordered is 30, your Over-Receipt Quantity based on a 10% tolerance is 3. Hence update the Over-Receipt Quantity to 3. This will automatically update the Quantity Received field to a count of 33 items. 
  5. Select Post. Then, select Receive to receipt your purchase order.  
  6. Select OK to complete the process.  
  7. You’ve posted your over-receipted purchase order. 

Note: If you try to over-receive without a valid code or over the allowed percentage, the system will display an error. 

Note: If you choose to return the excess stock, process a purchase return order or purchase credit memo when the vendor issues a credit for the over receipt.
