Manage restricted user access in Wiise payroll

Why manage restricted user access? 

Restricting user access protects sensitive employee information and helps prevent unauthorised access. It also ensures payroll accuracy, accountability, and compliance with legal requirements. 

Note: In your business, some users may only need access to specific features, like reviewing expense claims or checking who has clocked in. These employees don't need full admin rights, just access tailored to their role.  

The Restricted Access feature lets you create custom security groups based on what your managers need access to within the payroll platform. You can also use this feature to edit or delete existing security groups as needed. 

How to manage restricted user access? 

  1. On your Wiise payroll dashboard, select Payroll Settings. Then, select Manage Users in Business Management section.  
  2. Select Add to add a new user or select an existing user to update the user’s access.  
  3. Then, select Restricted access level. A set of tabs display requesting further information.

  4. Where required, you’ll need to update the following tabs: 
    1. Employee Access 
    2. Location 
    3. Reporting 
    4. Pay run approval 
    5. Clock Me In 
  5. Select the type of access you want to make for the restricted user.  
    1. Employee access tab:

      1. Create a group or add an existing employee group. 
      2. Then, select the permissions for the restricted user.  
      3. When you’ve completed your selection, select Save.  
      4. You’ve added the user to an employee group. 
    2. Location tab:

      1. Select the Grant access to more locations and complete the following fields: 
        1. Criteria 
        2. Is one of 
      2. Then, select which feature the user will access.  
      3. Select Save.  
    3. Reporting tab:

      1. In the User has access to drop-down menu, select either no reports, all reports, repot packs or the following reports.  
      2. Select Save. 
    4. Pay run approval tab: Here you’ll be granting STP access to the user.

      1. Select from the Pay run approval drop-down menu whether the user can approve pay runs from no pay schedules, all pay schedules or a selection of pay schedules.  

        Note: When you’ve activated STP, you can select STP approval for the user.
    5. Clock me in tab:

      1. Select the User has access to drop-down menu and select the following options which are no kiosks, all kiosks or the following kiosks.  
      2. Then, select Save. 

        Note: The clock me in time management is set up to allow employees to clock in or clock out when they begin and end their shifts. When you create a time and attendance kiosk option, you can set the criteria for your employees and the options for employees to select a work type for their shift and location are controlled by your timesheet settings.
