Generate Sales Invoices from Wiise Timesheets 

Overview: 

  • Learn to set up a chargeable entry in the Wiise Timesheet. 
  • Learn to generate sales invoices from Wiise Timesheet entries.  

Why Generate Sales Invoices from Wiise Timesheets? 

The Timesheet to Sales Invoice feature lets you generate approved chargeable timesheet entries into invoice lines. This helps service businesses prevent chargeable mistakes and shorten the time to invoice.  

Before You Begin 

Ensure the following prerequisites are met: 

  • The user has the appropriate permissions to create and post a sales invoice. 
  • The user has access to Wiise Timesheets
  • You may need to personalise the Wiise Timesheet view to add the Chargeable checkbox. This checkbox is required to Create Sales Invoices from timesheet entries. 

Note: By default, the Chargeable checkbox is already ticked for every entry you complete. You can uncheck the Chargeable checkbox for the entries you do not want to charge out.

How to Generate Sales Invoices from Wiise Timesheets? 

  1. Navigate to the Wiise Timesheet and select the timesheet with entries that need to be invoiced.  1

    Note: The entries that need to be invoiced need to be approved entries.  

  2. Select Home. Then, select Create Sales Invoice. 

    Note: You can only create invoices from approved timesheets. 
     
  3. The Create Sales Invoice from Timesheet page displays.

  4. Fill in the following fields:  
    1. Posting Date: The date the invoice will be recorded in your accounts. 
    2. Document Date: The date shown on the invoice, used to calculate the payment due date. 
    3. Customer No.: Select the customer you’re invoicing. 
    4. G/L Account No.: Select the general ledger account where the invoice amount will be posted. This account determines the recording of this transaction. 

      Note: The G/L account you select must have an appropriate posting group set up to ensure transactions are posted correctly. 
  5. Select OK to continue.  
  6. The Sales Invoice is generated.

  7. You can now review and post the Sales Invoice to bill the customer.  
  8. You’ve generated a Sales Invoice from an approved Wiise Timesheet. 

    Note: When the timesheet Status for the entries is not Approved, and you select Create Sales Invoice, a message displays Selected timesheet entries must be approved before invoicing. Select OK to close the message.

    Note: When you select a non-chargeable timesheet entry line to Create Sales Invoice, a message displays Non-chargeable timesheet lines cannot be invoiced. Select OK to close the message.
