Why add an employee?
Setting up an employee on the payroll ensures employees get paid correctly and on time. It also helps your business meet legal and tax requirements.
Note: When you create employees in Wiise Payroll, they’ll be created automatically in Wiise. The matching reference is their employee ID.
How to add an employee?
There are two ways to add employee details in Wiise payroll. You can use the employee wizard to add an employee or import employees in bulk using an excel spreadsheet.
Here are the steps to add an employee using the employee wizard in Wiise Payroll
- Go to your Wiise Payroll Dashboard. Select the Employees tab. Then, from the green drop-down menu, select Add Employee.
- The employee wizard Add a new employee assisted setup displays.
- Fill in the Personal Information fields.
- Fill in the Contact Information fields:
- Email notification: You can update this field to send a notification to the employee to inform them of their published pay slips or if the employee has been rostered to work one or more shifts. Select from the drop-down menu to send notification via email, sms, manual or no notification.
Note: SMS notification incurs charges.
Note: If you require your staff to action published shifts and acknowledge their consent, you can update these settings in the Rostering section in Wiise Payroll.- Turn on self-service for this employee: You can turn this self-service on or off.
Note: Turning on the self-service allows your employees to view their pay slips, manage their personal details and apply for leave.
- Turn on self-service for this employee: You can turn this self-service on or off.
- Select Next.
- Fill in the Employment details fields.
- Timesheets: Select use timesheets when you’ve set up timesheets in Wiise Payroll.
- Employment Type: select your employee’s employment type as it is required by the ATO.
- Primary Pay Category: This is the default pay category to define the rates that your employees are paid. This is usually set to an employee’s ordinary time earnings.
Note: Select Permanent ordinary hours in the Primary Pay Category field if your full-time and part-time employees are being paid the base rates. - Leave allowance template: The template manages the types of leave accrued, how much accrues and the way leave is accrued.
Note: Select the What’s this link beside the relevant fields to find out more information about the field you’re selecting for the employee. - When you’ve filled in the fields, select Next.
- The Banking & Super fields display. Fill in the required fields.
- Bank details: Identify the bank account type based on the payment method for the employee. You can select between electronic payment via ABA, manual, cash or cheque or BPAY.
- Super fund: Select from a regulated super fund or self-managed fund.
- Select Next.
- The Tax file declaration fields display. Fill in the required fields.
- Select the appropriate Tax Calculation Options checkboxes.
- Note: Select the information (i) icon to find out more information about the checkboxes.
- Note: An ATO TFN declaration form link is visible on the top right-hand corner of the page, that takes you to the ATO website.
- Lodge with ATO: You can select the checkbox when you’re ready to lodge the tax file declaration electronically with ATO.
- Select Done, when you’ve completed the employee wizard setup to add your employee.
- The employee wizard confirms the completion of adding an employee to Wiise Payroll. You can view the new employee you’ve set up, add another employee or direct yourself to the home page.
- Email notification: You can update this field to send a notification to the employee to inform them of their published pay slips or if the employee has been rostered to work one or more shifts. Select from the drop-down menu to send notification via email, sms, manual or no notification.
- You’ve now added an employee using the employee wizard.
