Review quality on receiving goods

Overview:

  • Find out how to review the quality of receiving goods.

Why review the quality on receiving goods?

By reviewing the quality of received goods, their condition matches the specifications in the purchase order. This process helps businesses prevent damage or loss during storage.

How to review the quality on receiving goods?

  1. Physically inspect the received goods:
    1. Check packaging: When goods arrive at your warehouse, staff should inspect the packaging and pallets for any signs of damage, such as tears, dents, or water damage.
    2. Inspect labels: Labels need to be intact and match the purchase order details, including item names, quantities received, and any relevant codes as identified on the receipts.
  2. Verify the quantity of goods received: Staff should physically count the received items and compare the count with the purchase order and shipping documents to ensure accuracy.

Note: If there are any discrepancies with the quantity received, staff must report the issue to the supervisor or relevant department and record it in Wiise. You can use a purchase return order or a purchase credit note for the claim process.

  3. Test for quality control:
    1. Random sampling for large shipments: For large shipments, select a random sample of items to check for quality. The items received must meet the required specifications for size, weight, color, and other attributes as documented on the purchase order.
    2. Functional testing: Confirm that received goods are in working order by testing their functionality.
    3. Expiry date verification: For perishable or time-sensitive goods, check and verify the expiry dates.
    4. Safe storage: Received goods should be stored in the appropriate location within the warehouse, following any specific storage requirements such as temperature control and handling of fragile items.
  4. Update inventory: Accurately update inventory records in Wiise to reflect the received goods.
