How to use notifications to streamline your processes

If you’ve ever wanted to know when you’re going to run out of inventory or are about to invoice a customer with an overdue payment, you can get Wiise to give you a hand. 

To make it easier to keep track of upcoming activities or find out when you need to make changes, you can set up system alerts and notifications. This is useful if you’re about to invoice a customer who has exceeded their credit limit, or available inventory is lower than the quantity you’re about to sell. Or there’s going to be data migration. 

You can set these alerts up in the Notifications section in My Settings. Then turn notifications on or off as you need them. 

When you see an alert, you can then resolve the issue, perhaps by ordering more stock or emailing your customer.

Here are some notifications examples to help you streamline your processes.

How to set up low stock notifications

When your stock is running low, an early warning will help you manage your inventory so you can keep up with demand and keep your customers happy. Here's how to set up a notification to let you know when item stock is running low.

  1. Start by going to My Settings to set up a notification — just press Alt+T.
  2. Then select Change when I receive notifications.
  3. You’ll see the list of notifications already set up for you.  In this case, highlight Item availability is low. To find out what this, or any notification does, click on the notification name. 
  4. Now you can select what items you want to be be notified about — select View filter details in the Conditions column to see your options.  
  5. Here, you can select your filter options, such as the Item category code. Select CHAIR for example.
  6. Select OK to finish setting up the filter. 
  7. Then to finish setting up the notification, tick Enabled, and then Close.  

Now if you're about to invoice for a chair, Wiise will let you know that you're low on that item so you can reorder more stock .

How to set up customer credit limit notifications

When you set your customers up in Wiise, you will usually apply a credit limit to their record so they don't owe you too much money. Here's how to set up a warning that the customer will exceed their credit limit when you're creating a sales document.

  1. Start by going to My Settings to set up a notification — just press Alt+T.
  2. Then select Change when I receive notifications.
  3. In this case, highlight The customer's credit limit has been exceeded. To find out what this, or any notification does, click on the notification name. 
  4. Now you can select the conditions that will trigger a notification — select View filter details in the Conditions column to see your options.  
  5. Here, you can select your filter options, such as the customer name, and the credit limit. 
  6. Select OK to finish setting up the filter. 
  7. Then to finish setting up the notification, tick Enabled, and then Close.  

When you're completing a sales invoice or order, Wiise will now warn you that the customer is about to exceed their credit limit so you follow them up.

How to set up late payment notifications

Predicting late payments will help you manage your cash flow and chase up late-paying customers. Here's how to set up a notification to predict the late payment of a sales document.

  1. Open up My Settings by pressing Alt+T.
  2. Then select Change when I receive notifications.
  3. You’ll see the list of notifications already set up for you.  In this case, highlight Predict late payment for sales documents. To find out what this, or any notification does, click on the notification name. 
  4. Then to finish setting up the notification, tick Enabled, and then Close.  

Now when you're creating a sales invoice or order, Wiise will notify you that you have the option to predict that the payment will be late.

How to set up unposted documents notifications

You might be working through a stack of sales invoices and forget to post one. Wiise can let you know if you're about to close a document that you haven't posted.

  1. Open up My Settings by pressing Alt+T.
  2. Then select Change when I receive notifications.
  3. You’ll see the list of notifications already set up for you.  In this case, highlight Warn about unposted documents. To find out what this, or any notification does, click on the notification name. 
  4. Now you can select the conditions that will trigger a notification — select View filter details in the Conditions column to see your options.  
  5. Here, you can select your filter options, such as the Document type and Sell-to customer name.
  6. Select OK to finish setting up the filter. 
  7. Then to finish setting up the notification, tick Enabled, and then Close.  

Wiise will now notify you when you close a document that matches your filter settings, so you can go ahead and post it if you need to.

How to set up data migration notifications

If you're about to make a change to your data, you'll want to know if there's data migration in progress so you don't have to rekey your data or cause any duplication or migration errors.

  1. Start by going to My Settings to set up a notification — just press Alt+T.
  2. Then select Change when I receive notifications.
  3. You’ll see the list of notifications already set up for you.  In this case, highlight Data migration notification. To find out what this, or any notification does, click on the notification name. 
  4. Then to finish setting up the notification, tick Enabled, and then Close.  

If you're about to change customer information or other data, Wiise will warn you if a data migration is in progress so you can hold off making a change. And it will show you if a data migration has just been completed so you know you're looking at the most up to date information.
