How to adjust inventory using Wiise Warehouse OnTime

Learn how to adjust inventory using Wiise Warehouse OnTime.

Why use Wiise Warehouse OnTime to adjust inventory?

You create an adjustment when the physical quantity of an item is different to the quantity recorded in Wiise.

How to adjust inventory using Wiise Warehouse OnTime

  1. In the OnTime app, open the Functions page.

  2. Select Adjust.

  3. Select + New adjustment.

  4. Select Scan Item to scan the barcode of the item with the device camera or scanning device.


    Alternatively, select Search item and enter the Item Number or Barcode of the item then select the Search icon to find the item.

  5. Select Scan bin to scan the barcode of the bin that the items are in.


    Alternatively, select Select bin code and the bin the item is in then select the Save button.

  6. The item has now been selected.

    You will see the item's information on the top half of your screen. The bin of the item can be changed by selecting the Change button next to the bin code.

  7. Use the plus + and minus + buttons to increase or decrease the quantity of the item.

  8. If item tracking (serial, lot or package number) is required for the item you are adjusting, follow these steps:
    1.  For a positive adjustment:
      1. You will see a blue Add item tracking button at the bottom of the screen.
      2. Select the Add item tracking button.
      3. In the first required field, select the scan icon. 

        For example, if your items require serial numbers, this will be the first field that you will see. Other fields may be Package number or Lot number. 

      4. Using your mobile camera or scanning device, scan the corresponding barcode on your item.

        By selecting the field, you can also use the keypad to manually enter the tracking details.

      5. When all fields have been completed, select the Save button at the bottom of the screen to save your tracking details.
    2. For a negative adjustment:
      1. You will see a blue Add item tracking button at the bottom of the screen.
      2. Select the Add item tracking button. 
      3. In the first required field, select the scan icon. 

        For example, if your items require serial numbers, this will be the first field you will see. Other fields may be Package number or Lot number

      4. Using your mobile camera or scanning device, scan the corresponding barcode on your item.

        By selecting the field, you can also use the keypad to manually enter the tracking details

      5. Repeat this process until all item tracking fields contain the corresponding item tracking details.
      6. When all fields have been completed, select the Save button at the bottom of the screen to save your tracking details.

        Note: Items with item tracking enabled can only be adjusted by no more than 1. Expiry and warranty item tacking dates are unavailable at this time. 
  9. To complete your adjustment, select Confirm.
  10. When all adjustments have been done, select Save. All adjustments will now be sent back to Wiise ERP desktop.

What happens once I save or post an adjustment back to Wiise ERP Desktop?

Now that the task has been completed, it has been either posted or saved back to Wiise ERP Desktop.

If it has been posted:

  • The adjustment has been posted to the item journal batch that is specified on the user card.

  • No further steps are needed on Wiise Desktop and the item quantity has been adjusted.

If it has been saved:

  • A journal line has been created in the item journal batch that is assigned to the staffs user card.

  • No inventory will be updated till it has been posted from the item journal batch

  • Here is how to post the item journal batch:

  1. Search for and open item journals.

  2. Select the WH-ITEM item journal batch from the list.

  3. Select the drop-down on Batch name in the top right corner.

  4. Select the User ID batch that added the adjustment.

  5. Review the adjustments on the journal lines.

  6. Select the Post drop down then select post or post and print.

  7. The adjustment is now complete.

  8. Now that the journal line has been posted, the inventory is adjusted is the new quantity.
